What a setup covers

Nine workstreams from empty fit-out to live office.

You hand over the keys, we hand back a working office. Every wire, switch, desk, and dashboard installed, configured, tested, and documented.

Site planning

Floor plan review, equipment count, occupancy projections. Cabling diagram, network design, equipment room layout. Output: a written design and SOW.

Structured cabling

Cat6A or fibre per spec, patch panels, equipment rooms, AV cabling. Tested and certified by an independent third party. Documentation kept on-site.

Network & WiFi

Routers, switches, firewalls, access points. Coverage survey before sign-off so corners and meeting rooms get the signal they need, not just the open floor.

Server & storage

On-prem server room or cloud-first, depending on your shape. Racks, UPS, environmental monitoring, backup target storage if you need on-site.

Microsoft 365 tenant

Tenant build or migration, identity setup, mailbox provisioning, Teams policies, conditional access. Day-1 your team logs in and everything works.

Workstation rollout

Laptops, desktops, monitors, peripherals procured (or yours, prepped). Imaged, joined to the domain, locked down to your security baseline. One per desk on day 1.

Telephony & meeting rooms

IP phones, soft-phone configuration, meeting-room AV. Teams Rooms, Zoom Rooms, or hybrid. Tested with real call quality, not just a dial tone.

Security baseline

Endpoint protection, MFA, patch management, conditional access, basic SIEM. The minimum responsible posture for any new office, hardened before launch.

Day-1 verification

Engineer on-site opening day. Smoke test every workstation, every printer, every meeting room, every phone. Open tickets close as users hit them.

Why GR IT for new-office setup

Four reasons clients trust us with the launch.

New-office IT is a high-stakes, low-rehearsal project. Here is what makes us good at it.

150+ Dubai builds

Pattern recognition matters. We have done DIFC tower fit-outs, Free Zone serviced offices, warehouse-attached corporate spaces, and the awkward shell-and-core builds.

In-house engineers

Cabling, network, server, M365, security, all our own staff. We do not subcontract the IT portion. Same team plans, builds, and supports after.

Single contract, single throat

One SOW, one PM, one bill. Not five vendors to coordinate. The trade-off is we are accountable for the whole IT outcome, not just our piece.

Continuity into AMC

After launch, the same engineers move into your AMC or Managed IT contract. They already know your environment because they built it.

Industries we set up

Setup profiles by sector.

Six common shapes. Tier and timeline vary, the discipline does not.

New SME offices

10-50 staff offices. Cloud-first, M365-only, simple network. Most common profile and our fastest delivery, often 4-6 weeks.

Professional services

Law firms, accountancies, consultancies. Document management, secure remote access, regulatory documentation, audit-ready environment.

Retail & F&B

POS systems, kitchen displays, customer WiFi, payment terminals, BMS integration. Opening date is non-negotiable; we plan accordingly.

Healthcare clinics

Patient-record systems, medical imaging, regulatory continuity, DHA/MOH-compliant environment. Built and audited before opening.

Schools & training

Classrooms, labs, staff offices, parent portal, exam systems. Term-start cutover with student data ready on day 1.

Free Zone branches

New entity setup, parent-company integration, identity federation, license assignment. Free Zone bureaucracy worked alongside the build.

Turnkey vs piecing it together

Why one IT contract beats five vendors.

Most new offices end up with a cabling vendor, a network vendor, a phone vendor, an M365 vendor, and an IT support vendor. The honest comparison:

How a setup runs

From floor plan to live office.

Every new-office build runs the same path. Documented, evidenced, deliverable on a fixed timeline.
  1. 1

    Design

    1-2 weeks

Site visit, floor plan review, occupancy planning, cabling diagram, network design, equipment list. Output: written design, SOW, project schedule.

  2. 2

    Build

    2-8 weeks

Cabling, equipment rooms, network gear, server install. Sequenced with your fit-out so we are on-site after first-fix electrical and before furniture.

  3. 3

    Configure

    1-3 weeks

M365 tenant, identity, security baseline, workstation imaging, meeting-room AV. Most happens before day-1 so users sit down to a working environment.

  4. 4

    Launch

    Day-1 + 2 weeks

Engineers on-site opening day. Smoke test every endpoint. Daily check-ins for the first two weeks. Project closes when ticket volume returns to baseline.

“We hired GR IT four months before opening our new HQ in JLT. By opening day, every desk had a working laptop, every meeting room had Teams and a working camera, every phone rang correctly, and the network performed exactly as designed. The first ticket was three days in, a request to enable an extra calendar in Outlook. After watching peers deal with two-month launch chaos, this was the calm one we will pay for again.”

Common questions

New-office IT setup, frequently asked.

For small offices: 6-8 weeks before opening day is comfortable. Mid-size: 10-12 weeks. Enterprise/HQ: 16-20 weeks. Cabling and network gear lead times drive most of the buffer; we can compress if equipment is already on hand.

We coordinate with your fit-out contractor for sequencing (we have working relationships with the major Dubai fit-out firms) but the contracts stay separate. Our piece is everything inside the IT scope: cabling, network, equipment rooms, IT-related AV, M365, devices, security.

Brand-agnostic by default. We recommend based on your budget, maintenance preferences, and existing standards. Common defaults: Dell or HP for servers and workstations, Cisco or Ubiquiti for networking, Sophos or Fortinet for firewall. We document why we picked each item; you keep the choice.

Yes, optionally. We pass through procurement at cost with a transparent margin (typically 5-12% depending on volume). The alternative is you procure direct from your preferred vendor and we install. Both are common; we will tell you which is cheaper for your specific list.

We install IP-based systems by default: Microsoft Teams Phone, 3CX, or your preferred VoIP platform. We also handle the Etisalat or DU coordination for trunk lines, fibre delivery, and number porting. Mobile-first teams sometimes skip the deskphones entirely; we will tell you what your usage profile actually needs.

Standard rooms: Microsoft Teams Rooms or Zoom Rooms with a Logitech or Poly bar, single-cable HDMI, integrated booking display. Large rooms: dual displays, ceiling mics, automated camera tracking. Boardrooms: custom design. Tested with real call quality before sign-off, not just a power-on test.

Two weeks post-launch on-site coverage is included by default. Then most clients move to AMC or Managed IT for ongoing operations, with the same engineers staying on the account. Continuity matters; the team that builds your office should be the one that supports it.

We will tell you up front whether your timeline is realistic. The bottleneck is rarely our team; it is usually cabling certification windows, hardware shipping, or fit-out interaction with our work. We have launched offices in 3 weeks when needed; we have also told clients their 5-week timeline was unrealistic and recommended phased openings.
