What a Jafza estate actually needs

Eight scopes built for warehouses, not offices.

A generic managed IT contract written for a tower office fails here in specific, predictable ways. These are the eight scopes that matter when your operation is a bonded warehouse with a yard attached.

Warehouse wireless that actually covers the racking

Office access points mounted at ceiling height in a shed with 12 metre racking produce exactly the dead zones you would expect, and the symptom is scanners dropping mid-pick rather than anyone reporting a network fault. We survey with racking loaded rather than empty, design for coverage at floor and mezzanine level, and account for metal, stock density and roller doors that change the RF picture every time they open.

Handheld scanner and label printer fleets

The highest-failure-rate hardware in any Jafza operation. We manage the fleet as a fleet: standardised device build, spare units held so a failed scanner is swapped rather than diagnosed, battery lifecycle tracking because degraded batteries cause most mid-shift failures, and label printer maintenance including the print heads nobody budgets for until picking stops.

WMS and ERP support, including the integrations

We support the platform and, more importantly, the joins: WMS to ERP, ERP to the customer portal, scanner middleware to WMS, and the interfaces to your freight forwarders. Integration failures are where operations actually stop, and they are usually nobody vendor problem, which is exactly why a single accountable partner matters.

Customs and trade system connectivity

Declaration systems and trade portals are business-critical in a bonded environment: a connectivity fault is not an IT inconvenience, it is containers not clearing. We treat those paths as tier one, monitor them separately, and design failover so a single carrier fault does not stop declarations going out.

Cold chain and condition monitoring

What actually happens when the warehouse network drops mid-shift.

Warehouse outages do not look like office outages. Nobody raises a ticket saying the network is down, because the people affected are holding scanners, not sitting at desks. Understanding the real sequence is what makes the design decisions obvious.

  • The first symptom is not an alert, it is a supervisor saying picking has slowed. Scanners retry silently, then queue, then fail, and by the time anyone calls IT you are twenty minutes into the incident with a backlog already building.
  • Work does not stop cleanly, it forks. Some pickers switch to paper, some wait, some carry on and re-scan later. The reconciliation afterwards is frequently more expensive than the outage, because bonded inventory accuracy is a customs matter and not just a stock count.
  • The clock that matters is the vessel cutoff or the courier collection, not the SLA. A two-hour outage at 09:00 is recoverable. The same outage at 16:00 misses a cutoff and becomes demurrage or a missed delivery commitment.
  • This is why we monitor the scanner middleware and the wireless controller rather than only the internet circuit, and why the runbook names who authorises the switch to paper and at what point. Deciding that mid-incident wastes the twenty minutes you have.

The floor, where operations stop

  • Has the wireless been surveyed with racking loaded?
    A survey done in an empty shed is a survey of a building you no longer have.
  • How many spare scanners are physically on site?
    If the answer is zero, your same-day replacement is a courier booking.
  • When were scanner batteries last cycled or replaced?
    Degraded batteries cause most mid-shift device failures and get misdiagnosed as network problems.
  • Do you hold spare print heads for label printers?
    Print head failure stops dispatch and lead times on the part are rarely same-day.
  • Is there a documented fallback if the WMS is unavailable?
    Paper pick lists, and a person who knows where they are, beats improvising at 2am.

Connectivity and systems

  • Is there a second carrier path, and has failover been tested?
    Untested failover is a configuration, not a control. Test it deliberately.
  • Are customs and trade portal paths monitored separately?
    You want to know before the declaration fails, not because a container is stuck.
  • Who supports the WMS-to-ERP integration when it breaks?
    If both vendors point at each other, you have no owner. Name one in writing.
  • Is there capacity headroom for peak volumes?
    Systems that cope at 100 orders a day behave differently at 1,000.

Security, in a shared physical environment

  • Are pick stations on shared logins?
    Almost universal, and it means no attribution when stock discrepancies appear.
  • Are CCTV and access control on the same network as the office?
    Cameras are a well-known entry point and are rarely patched. Segment them.
  • Do former contractors and temporary staff still have access?
    High-turnover environments accumulate dormant accounts faster than anywhere else.
  • Is production machinery reachable from the office network?
    For manufacturing tenants this is the highest-consequence finding on the list.

We do not start a warehouse onboarding during a peak. The survey and remediation work happens in the quiet window, deliberately, so the first peak we cover is one we have already prepared for.

    Shift patterns, peak calendar, vessel cutoffs, what stops the operation, and what the last three serious incidents actually were. This is a conversation with the operations manager rather than with IT, and it sets every priority definition that follows.

What logistics operators ask us.

Jebel Ali is Band 3 on our published coverage bands: next business day for standard on-site work, same day where the daily run allows it, and within 4 hours for an emergency. That is measured from our Business Bay operations desk at both traffic peaks rather than estimated. We are deliberately not quoting a one-hour figure, because the drive does not support it and a band nobody can hold is worse than an honest longer one. For operations where four hours is genuinely too long, the right answer is a part-resident engineer or a larger on-site spares holding, and we would rather sell you that than a number we will miss.

We support them as a managed fleet, and it is one of the main reasons logistics operators move to us. That means a standardised device build so every scanner behaves identically, spare units physically held on your site so a failure is a swap rather than a diagnosis, battery lifecycle tracking because degraded batteries cause most mid-shift failures and are routinely misdiagnosed as network faults, firmware and application updates rolled out in a controlled window rather than whenever a device happens to check in, and label printer maintenance including print head replacement. Office IT providers almost always scope these devices out, which is exactly why they fail so often.

We do not replace your WMS vendor, we sit between you and the several vendors who each own a piece. In practice the outages that hurt are rarely inside the WMS itself, they are at the joins: the scanner middleware losing its session, the ERP integration silently failing so orders stop flowing, the customer portal feed timing out, or a certificate expiring on an interface nobody documented. Those are the places where every vendor can honestly say the problem is not theirs. We take ownership of the whole path, monitor the integrations rather than just the applications, and lead the vendor conversation when it does turn out to be inside the WMS.

Yes, and for a multi-shift warehouse it is the part of the contract that matters most. P1 cover is 24/7/365 including UAE public holidays, with a 5 minute response from an engineer who knows your estate rather than an overflow answering service. We also brief your shift supervisors directly on how to raise a P1 out of hours, because the classic failure is a supervisor at 02:00 deciding not to disturb anyone and instead waiting until the day team arrives, by which point you have lost a full shift of throughput. Getting that human protocol right matters as much as the technical cover.

We can take them into scope and we generally recommend it, for two reasons. First, camera and access control systems in bonded warehouses carry real retention obligations and the most common finding is a system that stopped recording weeks ago with nobody noticing, which is discovered at exactly the moment the footage is needed. Second, these devices are a genuine security problem: they are rarely patched, frequently run default credentials, and are often sitting on the same flat network as your finance systems. We monitor recording health and retention, keep firmware current, and segment them onto their own network where they belong.

We handle the IT side of the OT boundary, which is where the risk concentrates for most Jafza manufacturing tenants. That means proper network segmentation between plant and office, controlled and monitored paths where data genuinely has to cross, hardened jump hosts for vendor remote access instead of a permanently open connection, and monitoring at the boundary. We do not program PLCs or take responsibility for machine safety systems, and any provider who claims to do both without a specialist team should be treated carefully. Where deep OT work is needed we work alongside your machinery vendor rather than pretending to replace them.

Deliberately and in advance, because peak is when a warehouse estate is least forgiving. Ahead of a declared peak we check capacity headroom against your projected volumes rather than last year actuals, top up on-site spares, retest failover, walk the paper fallback procedure with the shift supervisors so it is a rehearsed process rather than an improvisation, and agree an escalation contact list for the window. During peak, the priority matrix shifts up one level across the board, so what would normally be a P2 is handled as a P1. All of that is agreed in the contract rather than negotiated when you are already busy.

This is the single most common complaint we hear from Jafza operators and the cause is usually the same. The original survey was done in an empty building, often before the racking went in, so the design reflects a space that no longer exists. Loaded metal racking absorbs and reflects signal, stock density changes the picture seasonally, and roller doors opening alters it minute to minute. Access points mounted at office ceiling height end up covering the roof space beautifully and the pick face poorly. We resurvey loaded, redesign for coverage where people actually work, and validate with real devices doing real transactions rather than a laptop showing signal bars, which is a measurement that tells you almost nothing about whether a scanner will hold its session.

Yes, and it is a routine part of the work in a 3PL environment. Customer onboarding in third-party logistics almost always involves a technical integration, whether that is EDI, an API, a file drop, or a portal feed, and it is usually on a deadline set by a commercial agreement that was signed before anyone asked IT. We take part in those conversations, build and test the interface, monitor it once live, and own it when it breaks. The failure mode we are protecting against is an integration built once by whoever was available, undocumented, and then unsupportable when the person who built it moves on.

Yes, and multi-site is normal for logistics operators. One contract covers every site with an honest response band written in per location, so a Jafza warehouse is Band 3, a Dubai South facility is Band 3, a Sharjah site is Band 4, and an Abu Dhabi operation is Band 5 with scheduled visits. Remote support and monitoring are identical everywhere. You get one service desk number, one escalation path, one invoice, and consolidated reporting so you can actually compare site performance, which is usually impossible when each location has arranged its own provider locally.

This is the question that separates operators who have thought about it from those who have not, and it is a customs matter rather than an IT one. If scanning stops and picking continues on paper, you have a reconciliation to perform afterwards, and in a bonded environment discrepancies are a compliance issue with the authority rather than just a stock variance. So the runbook has to specify who authorises the switch to paper, what gets recorded manually and in what format, and how reconciliation happens when systems return. We write that with your operations and compliance people rather than inventing it, and we rehearse it, because a procedure nobody has practised is not a procedure.

It can, and for operators handling customs data and customer commercial information it usually should. Microsoft 365 and Azure both have UAE regions and we provision into them where residency matters, then document where every copy sits including backups and any replicas, because the copies are what get overlooked. Where a WMS or ERP is vendor-hosted overseas, we map that honestly rather than glossing over it, and tell you what your realistic options are. Some are genuinely fixable, others are a commercial conversation with the software vendor, and knowing which is which is more useful than a blanket assurance.

Before the fit-out is designed, and ideally before the lease is signed. The decisions that are cheap at that point and expensive later are comms room location and cooling, cable routes and containment, power provision for the comms room and for access points across the shed, where the carrier terminates and whether a second path is available, and access point mounting positions that suit the racking layout rather than the empty shell. Retro-fitting cabling into an operating warehouse costs several times what it costs during fit-out, and it has to be done around your shifts. We have done both, and the difference is substantial.

Quoted after a site survey rather than published, because warehouse estates vary enormously and a rate card would mislead most people who read it. The drivers are floor area and how many access points that requires, scanner and printer fleet size, whether CCTV and access control are in scope, how many integrations we are taking responsibility for, shift pattern and therefore how much out-of-hours cover you genuinely need, and whether you want a part-resident engineer. You get one written figure covering everything in scope with the spares holding specified, and anything outside scope is quoted and approved before work starts rather than appearing on an invoice.
